1. Introduction
DeskMatch — a trading name of SW19 Labs Ltd — is a platform that connects individuals and businesses seeking workspace ("Users") with companies offering workspace ("Hosts").
DeskMatch:
- —does not own, lease, or operate any workspace
- —acts solely as an intermediary facilitating introductions
By using DeskMatch, you agree to these Terms.
2. Role of DeskMatch
DeskMatch provides:
- —workspace listings
- —matching services
- —introductions between Users and Hosts
DeskMatch does not:
- —warrant availability or suitability of any space
- —independently screen all listings or claims
- —act as a party to any agreement between Users and Hosts
3. Eligibility
You must:
- —be at least 18 years old
- —provide accurate information
- —use the platform lawfully
4. Platform Use
You agree to:
- —act in good faith
- —provide accurate details
- —not misuse the platform
DeskMatch may suspend or remove access at its discretion.
5. Matching & Introductions
DeskMatch may:
- —match Users with Hosts based on requirements
- —facilitate introductions via email or platform
All agreements are made directly between User and Host.
6. Tours & Scheduling
6.1 Tours
Some Hosts may offer in-person visits or virtual tours. Tours are optional and arranged after mutual interest.
6.2 Scheduling
Tours may be booked via the platform or direct coordination between User and Host. DeskMatch does not control third-party tools and is not responsible for scheduling errors or availability.
6.3 Post-tour decisions
After a tour, both User and Host may choose to proceed or decline. DeskMatch may facilitate follow-up communication.
7. Payments & Fees
7.1 Paying for a booking
All bookings are paid securely through DeskMatch. The Host is the supplier of the desk or workspace access; DeskMatch operates the marketplace and collects payment on the Host's behalf as a disclosed booking and payment agent. The complete amount you will pay — the total price, including any applicable Host VAT — is always shown before you pay, and payment is only requested after any required Host approval or tour step is complete.
7.2 Approval & tours
Some bookings require Host approval, and some offerings (such as monthly desks, dedicated desks and private offices) require a tour before booking. The booking page tells you which steps apply before you commit.
7.3 Card processing
Card payments are processed by Stripe — powered by Stripe, DeskMatch never stores your card details. DeskMatch charges the Host a commission of 15% of the booking amount, deducted automatically before the Host's payout; this never adds to the total price you see.
7.4 Refunds, cancellations & disputes
Cancellation and refund rules apply to every booking and are shown before you pay. DeskMatch administers refunds, chargebacks and payment disputes for bookings made through the platform.
7.5 No off-platform payment
No cash or direct payment to the Host is ever required for a booking confirmed through DeskMatch. If a Host requests additional payment outside the platform for a confirmed booking, please tell us immediately.
8. Non-Circumvention
Any introduction made via DeskMatch is the result of DeskMatch's services. Users and Hosts agree not to bypass the platform to avoid applicable fees following an introduction, request, tour, booking, or match.
If a User and Host enter into any agreement within 6 months of an introduction made through DeskMatch, DeskMatch reserves the right to charge applicable fees.
8a. Host Responsibility
Hosts are solely responsible for their premises, access arrangements, health and safety, insurance, legal compliance, privacy, confidentiality, and the suitability of the workspace they offer.
8b. Right to Host
Hosts confirm they have the right to offer desks through DeskMatch and should check any lease, landlord, building, or management requirements before listing. DeskMatch cannot advise on lease terms or building permissions.
8c. Listing Review Scope
DeskMatch may review listings for clarity and fit only. We do not independently screen, insure, or warrant any workspace, host, or Desk Hero. Any "DeskMatch reviewed" badge means the listing was reviewed for clarity and fit — nothing more.

8d. Desk Hero Conduct
Desk Heroes must behave professionally, respect host rules, maintain confidentiality, and only use agreed areas of the workspace. By submitting a desk request, Desk Heroes agree to the Desk Hero Code of Conduct. Hosts may decline or cancel access if behaviour is unsuitable.
9. User Terms
9.1 Conduct
Users agree to behave professionally, respect Host environments, and follow reasonable rules.
9.2 Responsibility
Users are responsible for their actions, their belongings, and any damage caused.
9.3 Suitability
Users acknowledge that workspaces vary in environment and quality. DeskMatch does not warrant suitability.
9.4 Confidentiality
Users must protect their own information and respect Host confidentiality.
9.5 Tours & visits
Users agree to attend booked tours responsibly and to communicate changes or cancellations.
10. Data & Privacy
Both Users and Hosts are responsible for complying with data protection laws and protecting their own information. DeskMatch processes data in accordance with applicable data protection legislation, including UK GDPR.
11. Liability
To the maximum extent permitted by law, DeskMatch is not responsible for, and not liable for:
- —injury or accidents in any workspace
- —loss, theft, or damage to property
- —privacy or confidentiality breaches by Hosts or Desk Heroes
- —access problems or building entry issues
- —WiFi reliability, speed, or security issues
- —host conduct or Desk Hero conduct
- —disputes between Users and Hosts
- —indirect or consequential loss
Use of any workspace is at your own risk, except where liability cannot be excluded or limited by law.
12. Content & Listings
By submitting content, you grant DeskMatch a non-exclusive licence to use and display it. DeskMatch may edit listings for clarity or remove content at its discretion.
13. Termination
DeskMatch may suspend access, remove listings, or restrict usage at any time.
14. Changes to Platform
DeskMatch may modify features or add and remove services without notice.
15. Changes to Terms
Terms may be updated periodically. Continued use constitutes acceptance.
16. Governing Law
These Terms are governed by the laws of England and Wales.

DeskMatch Credits (legacy programme — closed to new purchases)
The prepaid credits programme has been retired for new purchases. All new bookings are paid securely through DeskMatch by card at the total price shown. The clauses below continue to apply only to balances bought while the programme was open.
1. What credits are
DeskMatch Credits are a prepaid balance you can spend on day, week, or month desks across the Local Desk Network. Credits are not money, not transferable, and have no cash value outside of redeeming them on the platform.
2. Pricing
Credits are sold in packs starting at £25 for 5 credits. The exact credit cost of each desk is shown before you confirm. UK VAT is calculated at checkout and added to the pack price where applicable.
3. Validity
Credits expire 3 months after purchase. We’ll surface the expiry date in your wallet so you can plan.
4. Cancellation & refunds
- —Pending requests can be cancelled for free — no credits are debited until the Host confirms.
- —Day desks cancelled 24 hours or more before the start time are fully refunded in credits automatically.
- —Cancellations inside the 24-hour window, and all week / month desks, are reviewed by our team and refunded at our discretion.
5. Host approval
Every request needs the Host’s confirmation. If a Host declines or doesn’t respond, no credits are spent.
6. Host payouts
When a desk is confirmed we pay the Host a fixed amount per pass type (currently £18 per day, £55 per week, £190 per month). Payouts are issued by our team on a regular cadence.
7. Stripe & tax
Credit purchases are processed by Stripe under their terms. We use Stripe Tax to calculate VAT where required. You’ll get an emailed receipt for every purchase.
